- What is the benefit of using the cloud version of FlockBase?
Answer – You, and all of your users, can access your data 24/7/365 from any computer that has internet access. Work from home, work from the office, work while traveling. Work when it is convenient for you. Your data is always accessible, secure and backed up. The cloud version of FlockBase is fully integrated. Accounting, membership, and online giving are all part of one fully-integrated package.
- Is there a limit to the number of members, payees and users?
Answer – Yes. The plan that you subscribe to identifies the number of users and the combined limit for the number of members and payees.
- Can reports be printed in pdf format?
Answer – If you have a pdf print driver installed on your computer, you can print to the pdf driver from FlockBase just like you could from any other program.
- Can I import my existing FlockBase accounting and membership data into the cloud version?
Answer – Yes. Once you place your order for the cloud version of the software, you will be provided instructions for uploading your existing FlockBase data files to the cloud, and our conversion utility will upload all of your data into the cloud version.
- Can I import my existing membership database from another software program into FlockBase?
Answer – If you can place your household and member data into specially formatted spreadsheets provided by FlockBase and email the spreadsheets to us, we will import the data into FlockBase online and email you when the upload is complete. There is a $75 fee for importing the data. If we are unable to import the data as prepared by you, there will be no charge for the effort.
- Does FlockBase Accounting print checks and paychecks?
Answer – Yes. FlockBase Accounting can print checks and paychecks, one at a time, or in a batch. FlockBase Accounting uses QuickBooks-compatible checks that have the check on top and two stubs on the bottom of each page. These checks can be purchased from any check printing company that offers QuickBooks-compatible checks. We recommend ordering checks that do not have lines pre-printed on them.
- What does it mean to memorize a transaction?
Answer – For any payment that you make, including paychecks, you have the option to “memorize” the transaction. Under the “Accounting” menu on the left-hand side of the screen, you can see your list of memorized transactions. Here, you can select how often those transactions should be processed, their date of last processing, and their date of next processing. FlockBase will send you a reminder on the next transaction so that you can process it without having to enter all the info again; it will also give you the option to print the check from that same screen.
- What do I do when I have forgotten my password?
Answer – Use the “forgot my password” link on the login page to reset your password.
- How do I backup my data?
Answer – There is no need for you to backup your data. FlockBase (cloud version) is hosted on Amazon Web Services. Your data is protected from hardware failure by the same data redundancy and protective measures as all of Amazon’s servers.
- Does FlockBase allow non-cash contributions?
Answer – Not at this time. It is inappropriate for a church (or any non-profit) to put the value of a non-cash contribution on a receipt to a donor. It is NOT the church’s responsibility to vouch for the value of a non-cash contribution.
- Can this software be used for more than one church (company)?
Answer – No, each church/organization must purchase their own subscription.
- How do I handle offering plate contributions in the FlockBase Membership and Contributions program?
Answer – You have two options: 1) The deposit screen allows you to directly enter “cash contributions” or other “non-member specific” contributions, or 2) You can handle the cash donations that cannot be attributed to a specific donor in a manner similar to any other household and member. The User Guide provides suggested naming conventions and special identification for the offering plate’s household and member. You can have multiple unidentified offering households and members as suits you particular church’s needs. Generally, one is adequate, but some churches want to break the unidentified giving down further. This can more easily be done by setting up individual funds rather than multiple households and members. Either way, FlockBase will accommodate your needs.
- How do I delete a household or a member?
Answer – We recommend that you do not delete any members, as you can instead mark them as no longer members (e.g. former members, moved away, deceased, et cetera). Due to this, no member can be deleted if they have made a contribution.
